Elmira Gymnastics Club Policies

Welcome to the Elmira Gymnastics Club.  We hope that your experience with our activities will be rewarding.  The following policies are designed so we can organize each activity to best serve you and your child.  If you should have any questions regarding the policies of any of our programs, please let us know.  

Parent Observation

Parents are welcome to watch the growth of their children at EGC.  Please be mindful that if your child is distracted by your presence, it might be helpful for you to sit away from the windows or use our drop off and pick up procedure.  All students who arrive early for class must remain in the lobby with an adult until called to the floor by an instructor.  (Students using the drop off may arrive 10 minutes or less before class if not accompanied by an adult).

Parent & Tot and Baby Gym/Warrior participants:  One adult is required for each child.  Each family may bring up to 2 adults.  All adults must remove shoes before coming into the gym.

Monthly Tuition
First month's tuition is due to register.  Tuition for the remainder of the session is due by the 15th of the month prior (October tuition is due by September 15).  Checks, cash or credit card (Visa, Mastercard & Discover) payments will be accepted at the front desk, or credit card payments will be accepted over the phone.  Credit card and e-check payments can also be made online through the Parent Portal.  

Payments that are not received by the 21st will be assessed a late fee.  $5/child late fee will be added on the 22nd.  $10/child late fee will be added on the 29th.  Students will be dropped from class if tuition is not paid by the 1st of the month. 

Returned Checks
All returned checks will be subject to a $30 Return Check fee.    After two checks are returned in a one-year period, cash or credit card payments will be required.

All students are registered for the entire session unless withdrawal is submitted online on the Parent Portal.  Billing will continue throughout the session until withdrawal is submitted.

Withdrawal Policy
All students are registered for the entire session unless a withdrawal form is submitted online on the Parent Portal.  Withdrawal must be submitted two weeks (14 days) prior to withdrawal.  Payment is required at that time through the final class date.  Refunds will not be given on monthly fees already submitted.  Withdrawals will not be taken over the phone.   CLICK HERE for withdrawal information.

Private Lesson Cancelation Policy
All private lessons must be paid at the time of registering.  Call 607-733-0145 to cancel or reschedule lessons.  
*Cancelation 24+ hours in advance:  100% Credit *or* 95% Refund, Make up tokens returned
*Cancelation 3-23 hours in advance: 50% Credit *or* 45% Refund, Make up tokens returned
*Cancelation less than 3 hours in advance: 0% Credit/Refund, Make up tokens not returned

MEDICAL FORMS

Clothing & Safety
*Baby Gym & Preschool Gymnastics classes (Parent & Tot, Tiny Tumblers, Gym Tumblers & Super Tumblers) may wear a leotard, or shorts and a t-shirt, and should wear grippy socks or bare feet. 

*Beginner Girls & Girl Gymnastics participants must wear a leotard for the safety of the gymnast and the spotters, and must have bare feet.  Shorts or pants may be worn over the leotard so long as there are no buttons or snaps. 

*Boy Gymnasts should wear a t-shirt (tucked in) and shorts or warm-up pants. 

*Warrior Training students must wear comfortable athletic clothes with no buttons or snaps and must have bare feet or socks with grippy bottoms.  

*All students with long hair should have pulled back.  Gum, candy, and jewelry are not allowed (small stud earrings are ok if they are secure).   Nylon stockings are slippery and not safe for gymnasts & warriors.  No shoes are allowed.

Health Policies
Students may not participate in classes while sick. Children with flu symptoms, ear infection, pink eye, lice, whooping cough etc, CANNOT attend class.  If your child was not able to attend school, they also cannot attend class at Elmira Gymnastics Club.  If your child has been diagnosed with an illness that may infect another child, and has been in gymnastics class during the time when they were contagious, please contact our office right away. 

SPECIFIC RESTRICTIONS:
ANTIBIOTIC:  Children must be on antibiotic for a full 24 hours before returning to class.

FEVER: Children must be 24 hours fever free without the use of medicine before returning to class.

LICE: Children may not return to gymnastics until they are free of lice and nits 

CONTAGIOUS SKIN CONDITIONS (Ring Worm, Warts etc):  Must be completely covered.

Make-Up Classes
*Tuition is not adjusted for missed classes.
*Students will receive a "make-up token” for missed classes ONLY if the absence is reported in advance.  Make up tokens can be redeemed for additional classes, they cannot be used to offset tuition charges.  
 *If the student's absence is not reported in advance, a token will not be created, and no make-up class will be available.
*Expected absences can be reported online on the Parent Portal or by calling 607-733-0145.  At least 3 hours notice is required to receive a make up token.  Please give as much notice as possible as this allows another student to use the empty slot for a make up class.    CLICK HERE for instructions
 *All make-up classes must be scheduled online on the Parent Portal, at the front desk or by calling 607-733-0145.  CLICK HERE for instructions.
 *Make-up tokens expire after 60 days.  
 *Make up classes can only be scheduled online on the Parent Portal while students are currently enrolled.  After a student withdraws, make up classes can only be scheduled on the day of the class (if there is space available) by calling 607-733-0145.    

  *IMPORTANT:  Absences not reported in advance do not receive a make up token.   

EGC CALENDAR
EGC will be closed for classes on the following dates.  All students with a regularly scheduled class on that day will receive a make-up class for the missed class.  
Thanksgiving: Thursday & Friday
Christmas Eve & Christmas Day
New Year's Eve & New Year's Day
Memorial Day: Saturday - Monday

EGC will also be closed one week for winter break.  This week is not counted toward the 20 week session, and no make-up classes will be given.

If EGC must close due to road conditions, an email will be sent to all classes, a message will be posted on the EGC Facebook page and an announcement will be made on WETM.

Safety

Please be advised that any activity involving motion, or height creates the possibility of accidental injury. Due to the specialized nature of this activity we must reserve the right to refuse instruction, to limit or restrict participation, to expel or place on probation, or to take whatever action the instructor deems necessary to provide for reasonable safety, discipline, and organization. We further reserve the right to altar any rule or policy if conditions warrant such.

Privacy Policy

We do not share or sell our contact information with any outside organizations or businesses.

Email Addresses

Please make sure we have a current email address on file.  We send newsletters and important information via email.  Stop by the desk or email Info@ElmiraGymnastics.com with the current address.  Each family can list up to 4 email addresses.  Only the primary email address will have access to the family account on the Parent Portal.  If you click UNSUBSCRIBE on the bottom of our emails you will no longer receive any emails from EGC.  If you have accidentally clicked this box please stop by the desk to change your preference.
